The tool stack for a link building team
A link building team needs five kinds of tool. A backlink index for research, an email finder, an outreach tool or CRM, a link monitor and a tracker. A solo link builder can start for about the price of one backlink subscription. Prices here were read on vendor pages in October 2026.

A link building team needs tools for five jobs: finding and judging sites, finding the right person’s email address, sending and managing outreach, checking that links stay live, and keeping a record of everything. One tool rarely does all five well. Most teams run a backlink index, an email finder, an outreach tool, a monitor and a tracker.
You do not need all of it on day one. A single backlink subscription, a normal mailbox and a spreadsheet will carry one person a long way. Add tools when a specific task is taking too many hours by hand.
Prices below are list prices from each vendor’s public pricing page. We checked every price against the vendor’s page on 4 October 2026. The tools named are examples, listed in alphabetical order, not recommendations. Prices change, and annual billing is usually cheaper.

Research and vetting
This is the tool you will open most. It answers who links to a competitor, what a prospect site ranks for, and whether its traffic is real. It is also where authority scores come from.

Pick one as your primary tool and use it for every comparison. Counts and scores from different tools cannot be mixed, as why backlink tools disagree explains. Contact finding
Outreach fails if the email goes to an info@ address nobody reads. Email finders search for a named person’s address and verify that it accepts mail. Verification matters because bounces damage your sending reputation. Our research uses a bounce rate under 2% as a working target for prospectors.

Outreach and CRM
There are two families of tool here.
Built for link building and PR. These keep a history with each site and contact, so two people do not pitch the same editor, and they link prospects to campaigns.

General cold email tools. These are built for sales teams. They handle many mailboxes, warm-up and sending limits, and cost less.

- Smartlead: from 39 dollars a month.
A general tool sends email well and knows nothing about links. If you use one, the relationship history has to live in your tracker. The outreach tools comparison lists both families.
Whatever you choose, send from mailboxes on a domain you control. The contacts are an asset of the business, not of the tool or the freelancer.
Monitoring
Links get removed, switched to nofollow or moved to pages that are not indexed. A monitor checks a list of source URLs on a schedule and alerts you to changes.

- Screaming Frog SEO Spider: 199 pounds a year. The free version crawls up to 500 URLs. In list mode with custom extraction it checks a list of pages for your link.

The tracker
A spreadsheet is enough. It needs one row per link with the source URL, target, anchor, attribute, method, cost, live date, index status and guarantee end date. Outreach platforms and BacklinkManager can hold this too. What matters is that there is one record, that it lives in your account, and that it is kept up to date.
Free tools worth having
- Google Search Console. The Links report for your own site, plus rankings and clicks for target pages.
- Ahrefs Webmaster Tools. Free for verified sites, with up to 1,000 backlinks visible at once, according to Ahrefs’ page in October 2026.
- The Wayback Machine. For checking a site’s history before you seek a link from it.
- Journalist request services. Some, such as Source of Sources, are free. The journalist requests page lists them.

What tools cannot do
No tool decides whether a site is worth a link. Scores and traffic estimates are a first filter, and they can be inflated. The decision still needs someone to read the site.
Tools also disappear. Our research found that Link Hunter shut down after Google removed a search parameter it relied on, and that Monitor Backlinks now redirects to another product. Keep your data exportable and avoid annual commitments until a tool has proved itself in your workflow.

Common questions
What tools do I need to start link building?
A backlink tool to find and judge sites, a way to find email addresses, a mailbox to send from and a spreadsheet to track links. Search Console and one paid backlink subscription are enough for a solo start.
Do I need both Ahrefs and Semrush?
Usually not. Pick one for day-to-day comparisons, because scores and counts differ between tools. A second index helps mainly for audits or when you work in a market the first tool covers poorly.
What is the best outreach tool for link building?
It depends on volume. BuzzStream and Pitchbox are built for link building and digital PR. General cold email tools cost less per mailbox but lack link-specific features. Test with your own campaigns before committing to an annual plan.
Can I do link building with free tools only?
For your own site, mostly yes. Search Console, Ahrefs Webmaster Tools, free email finder credits and a spreadsheet cover the basics. Researching competitors at any volume needs a paid backlink tool.
