How to monitor brand mentions across the web

Track brand mentions with a free alert for news and web pages, a community alert for forums, and a paid monitoring tool only if volume justifies it. Then triage each mention within days, because a link request, a correction or a reply all work best while the page is new.

To track mentions of your brand, start with two free alerts, one for the web and one for forums, and add a paid monitoring tool only when the volume or the social coverage calls for it. The tooling is the easy half. The value comes from what you do with each mention in the first few days.

Why monitor at all

A mention is your brand named on a page you do not control. Monitoring serves four jobs.

  • Links. A mention with no link is the cheapest link prospect you will find. Practitioners in our research put the labour at roughly $20 to $80 per link won, which is an estimate.
  • Accuracy. Wrong prices, old product names and false claims get copied, by people and by AI assistants that retrieve the page.
  • Measurement. BuzzStream’s State of Digital PR 2026 survey of more than 150 practitioners found 72.3% track total mentions as a metric, next to 85.1% for quality links. Mention counts are now part of how PR work is judged.
  • Early warning. Complaints and impersonation tend to surface in forums before they reach you directly.

What to monitor

Set alerts for more than the brand name.

  1. The brand name, with and without spaces, and its common misspellings.
  2. Product and feature names.
  3. Named spokespeople and founders.
  4. Titles of your reports, tools and datasets. These are often cited without the brand.
  5. Your domain as plain text.
  6. Two or three competitors, if you want a comparison.

A generic brand name needs filters. If your company is called Atlas, pair the name with a category word and exclude the obvious false matches. Most paid tools accept Boolean rules. Google Alerts accepts search operators such as quotation marks and a minus sign.

The four surfaces

No single tool covers everything, because the surfaces are built differently.

Private spaces such as Slack and Discord groups, and most newsletters, cannot be crawled. You find those mentions through referral traffic or by being in the room.

A fifth type sits inside SEO suites. A content index, such as the one in Ahrefs, lets you search for pages that name your brand, exclude your own domain and highlight those that do not link to you. That is a search you run, not an alert, and it is the quickest way to find the backlog of older mentions. Outreach tools then manage the contact step.

What the price buys is mostly three things: the number of keywords, the number of mentions stored per month and how often the tool checks. Brand24’s page, for example, listed updates every 12 hours on its lowest plan, every hour on the next and real-time updates on its higher ones.

Choosing a level

  • A small brand with occasional press: Google Alerts plus a free community alert. Check weekly.
  • A brand running digital PR: add a paid monitoring tool for the campaign period, because journalists rarely tell you when a piece goes live and syndicated copies appear on many sites.
  • A consumer brand with heavy social volume: a social listening tool with sentiment filters, or you will drown in results.
  • Any brand that cares about AI answers: a prompt tracker as a separate line, measured as described in how to measure AI visibility.

Free alerts miss things. Google Alerts only reports what Google has indexed and chosen to show, and it has no social coverage. Treat it as a floor.

A triage routine

Run this at least weekly. During a campaign, run it daily.

  1. Log it. Date, URL, site, author, linked or unlinked, and what was said.
  2. Sort it into one of five actions:
    • Ask for a link. A positive or neutral editorial mention on a real site with no link. Send a short note that points to the exact sentence and offers the most useful URL.
    • Ask for a correction. A factual error. Supply the right fact and a source.
    • Reply. A question or complaint in a forum. Answer from a named, disclosed staff account.
    • Thank and keep. Good coverage that already links. Add the author to your contact list for digital PR.
    • Leave it. Scraper sites, spam pages and auto-generated lists. Not every mention deserves effort.
  3. Act fast. Practitioners report that link requests work best within days of publication.
  4. Record the outcome. Link added, declined or no reply. Guides claim conversion rates anywhere from 5% to 50%, which tells you the real rate depends on the publication. Many national newsrooms do not link out as a matter of policy.

Never post under an invented persona or ask staff to pose as customers. Google’s spam policies have covered attempts to manipulate AI responses since May 2026, and Reddit runs its own detection for coordinated promotion.

What to report

  • Mentions per month, split by surface and by linked or unlinked.
  • The share on sites you would be glad to be seen on. Volume alone rewards junk.
  • Link requests sent and won.
  • Corrections requested and made.
  • Your count against the same competitors each month.

Keep this beside your backlink tracking so that one log shows both links and mentions for each campaign.
